Executive Board Meeting Minutes

The meeting was called to order by President Richard Boland at 9:02. Present: Becky Dus, Shirley Waggoner-Eisenman, Maggie Hoon, Hilton Holcomb, Linda Lemieux, Ash Tyler, Richard Boland, Charlie Spencer and Cathie Rod

Becky Dus:
Becky asked that the board/nominating committee seek another person to do the Newsletter next year. Nancy Einbinder is one of the members that will be asked to fill this role.

Shirley Waggoner-Eisenman: Registration for State Conference is at capacity with 250 people. This is the largest number ever attending.
Most speakers for next year's general meetings have been confirmed.
A Motion to transfer $950 from the contingency fund to the reunion fund was made by Shirley and seconded by Becky Dus and carried. This would increase the amount to $1,450. The fund would cover food, drinks, paper products, invitations/envelopes and reimbursement to Barbara McCoy for the pictorial displays she has created. Information for the members of 1996 training sessions is still missing even though David Nash had 3 classes that year. There is a committee meeting on Sept. 11 at 11:00 am. Volunteers for the Reunion Social will be sought at the August and September general meetings.
Shirley passed out written guidelines for policies and procedures asking the board to read for discussion at the September Board meeting.

Maggie Hoon: Work groups are proceeding well in Botanical Garden with the help of Jim Blake and the work he has lined up.
Maggie made a Motion to purchase a plaque dedicated to all deceased BCMG the same size and style as the current plaque dedicated to Dave Denny in the Botanical Garden. Shirley seconded the motion which carried. The cost of the plaque is $400 and will be ordered by Maggie to have in place by the Reunion Social. The plaque will state “This garden is dedicated to the memory of Master Gardeners and their spouses who have passes away.” Discussion followed for a way to honor all parties who donated in excess of $2,500 to the garden. Charlie will check with Al Hight for direction on this issue.

Hilton Holcomb: Suggest identification on all plants in Botanical Garden. After discussion, Hilton stated he would see that this project is completed. The deck and walk way will be pressure washed and sealed. New flowers are being planted and more hard scape will done in the fall. Hilton thanked Jim Blake for a great job.
With Al Hight back at the Extension Center, Hilton felt more landscaping and even lighting of walkways will occur. There is $1,571.80 left in this budgeted area. More funds may be necessary.
He will talk to Al Hight about grooming the area around the green house in time for the plant sale in Oct., possibly using inmate labor to do the work.

Linda Lemieux: Current treasury stands at $21, 269.26. Plant sale has $20,009.30. Additional funds are needed for the Recognition Banquet of $88.56 and an additional $44.45 for Botanical Garden Plaque plus purchase of new checks. Shirley Waggoner-Eisenman made a Motion to take funds for additional costs for the Recognition Banquet, plaque and new checks from the contingency fund which was seconded my Maggie Hoon. The motion carried.
The budget for 07 is to include a line item to reimburse travel, etc. expense for Shirley Waggoner-Eisenman acting as BCMGVA liaison to the State Master Gardener Conference. Shirley will also ask Carol Wilson to act as an alternate delegate for BCMGVA since Shirley loses her voting power (as President) at the State Conference. Reimbursement to Carol will be considered. Shirley will give an estimate of expenses for this line item in the 07 budget.

Ash Tyler: Visited Al Powell and said he is doing very well.
After Al Hight's visit to the greenhouse it was decided to that the inmates reconfigure the irrigation and enlarge the holding beds in the front of the area.
Plants donated by Wal Mart (many perennials) have been groomed by Maggie Hoon and made ready for the next plant sale in October much of the prep work for the sale will be done before the State Conference. Shifts for the plant sale will start at 8 am.
With no pre sale, workers should put plants they are buying to a designated area and buy them at the end of their shift. Prices will be reduced by 10% at noon of Sat. the last day of the sale.
Notification for plant sale will be given through fliers, local news papers, State MG Newsletter and the State MG web site.

Charlie Spencer: Currently working on setting up MG presentations at County Libraries on garden preparations for fall and winter. Fliers for the Oct. plant sale will be distributed at these seminars as well as articles in the local newspapers. There will be a presentation at Southport Wal Mart on Sept. 30.
Charlie spoke of and then displayed a book Matt Martin has recommended “Turf and Ornamental Reference Guide for Controlling Pesticides, Fungicides and Insecticides.” After a brief overview from Matt and members perusal, Shirley Waggoner-Eisenman made a Motion to purchase this book for the MG library as a reference guide and increase library budget for 07 to cover update for one year. The motion was seconded by Maggie Hoon and carried. This Reference Guide would then be used in conjunction with the NC Ag Chem. Manual.
A pocket guide on fruits and vegetable diseases from the University of Georgia was also to be purchased.
Charlie asked if the BCMG would be giving a gift to Billy Privette for his retirement. Maggie Hoon made a Motion to give a $50 gift certificate, seconded by Shirley Waggoner-Eisenman which was carried. This is to thank and honor Billy for all the help he has offered the BCMGVA. Charlie will buy this certificate at the Rod and Reel shop in Holden Beach
A new form is being created for seminar participants to evaluate the presentations offered by the BCMGVA. This will be sent to the State Extension Service as a way to evaluate the effectiveness of our service to the community. This will give a broader scope than an account by the MG of number of attendees, topics presented and materials used.
Hilton Holcomb initiated discussion of purchasing a power point system for use at the MG presentation and seminars. Charlie has a program that can be used. A committee consisting of Richard Boland, Hilton Holcomb, Nancy Einbinder, Billy Privette, Maggie Hoon and Charlie Spencer will be formed to gather information on system features, costs, etc. This purchase will be placed in the budget for 07.

Richard Boland: Announced Grace Wrigley as the new Librarian.
Richard has members assigned to man table at State Conference to sell “Month at a Glance”.
He asked for help for Barbara McCoy on the pictorial display.
